1. What We Collect
When you use BidSnap, we collect and store:
- Access key — your unique login credential, stored securely in our database.
- Company profile — information you provide during onboarding (company name, location, capabilities, equipment, qualifications). This is used to tailor AI analysis to your business.
- Uploaded documents — tender packages, specifications, addenda, and other files you upload for analysis.
- Usage data — which analyses you run, credit transactions, and basic interaction logs.
2. How AI Analysis Works
BidSnap uses artificial intelligence to analyze your tender documents. Here is exactly what happens:
- When you upload documents and run an analysis, the text content of your files is sent to Anthropic’s Claude API for processing.
- Anthropic is a third-party AI provider. We do not control how Anthropic stores, processes, or retains data sent through their API. You can review Anthropic’s privacy policy for details on their data handling practices.
- Your company profile information is also included in AI prompts to provide context-aware analysis.
3. Your Responsibility
By using BidSnap, you acknowledge that:
- You are responsible for the documents you upload. Do not upload documents you are not authorized to share or that contain information you are contractually prohibited from disclosing.
- If a tender package includes confidentiality restrictions, non-disclosure requirements, or proprietary markings, it is your responsibility to determine whether uploading that document to a third-party AI service is permitted.
- BidSnap is not responsible for any consequences arising from the unauthorized sharing of confidential documents.
4. Data Retention
- Projects and files are stored on our servers for as long as your account is active. You can delete individual projects at any time from the Projects page.
- Analysis reports are stored alongside their project files and are deleted when you delete the project.
- Account data (access key, company profile) is retained until you request account deletion.
- Usage logs (credit transactions, analysis records) are retained for billing and support purposes.
5. Third Parties
- We do not sell your data to any third party.
- Anthropic (Claude API) — receives document text and company profile data for AI analysis. See section 2 above.
- Stripe — processes credit purchases. We do not store your payment card details; Stripe handles all payment information directly. See Stripe’s privacy policy.
6. Cookies & Local Storage
BidSnap uses minimal browser storage:
- localStorage — stores your access key so you stay logged in between visits. No tracking cookies, no analytics scripts, no third-party trackers.
7. Account Security
Your access key is the sole credential for your account. Keep it secure. Do not share it with others. If you believe your key has been compromised, contact us immediately to have it revoked and replaced.
8. Disclaimer — AI Accuracy
BidSnap uses AI to analyze tender documents. AI can make mistakes. Reports generated by BidSnap are intended as a starting point for your own review — they are not a substitute for professional judgment. You should always verify critical information (quantities, deadlines, specifications, requirements) against the original tender documents before making bidding or pricing decisions. BidSnap is not responsible for errors, omissions, or misinterpretations in AI-generated reports, or for any business decisions made based on them.
9. Changes to This Policy
We may update this privacy policy from time to time. If we make significant changes, we will notify active users through the application. The "Last updated" date at the top of this page reflects the most recent revision.
